About the Role

We are seeking a highly organized and proactive Personal Assistant with a strong background in Real Estate Administration. The ideal candidate will provide comprehensive administrative support to our senior agents. This role requires a detail-oriented individual with excellent communication skills and the ability to manage multiple tasks efficiently.

Key Responsibilities

1. Administrative Support

  • Manage and maintain executives schedules, including arranging meetings and appointments.
  • Handle correspondence, including emails, phone calls, and physical mail.
  • Prepare reports, presentations, and other documents as needed.
  • Assist with personal tasks for the executives as required.
  • Assist with creating Form A, B and F.

2. Real Estate CRM Management

  • Oversee the daily operation of the real estate CRM system, ensuring data accuracy and completeness.
  • Enter new leads, update client information, and manage property listings within the CRM.
  • Generate and analyze CRM reports to provide insights on sales performance and client engagement.

3. Client Relations

  • Serve as the primary point of contact for clients, addressing inquiries and providing excellent customer service.
  • Schedule and coordinate client meetings, property showings, and open houses.
  • Maintain and nurture relationships with existing clients through regular follow-ups and personalized communication.

4. Listings

  • Ensure that property documents and photos are uploaded to the Google Drive.
  • Ensure document listing properly aligned with the property description and documents.

5. Special Projects

  • Assist with special projects as assigned by the executive team, including market research, marketing campaigns, and business development initiatives.

Requirements

1. Education

  • Bachelors degree in Business Administration, Real Estate, or a related field preferred.

2. Experience

  • Minimum of 1 year experience as a personal assistant or in a listing administrative role.
  • 1 year experience working with real estate CRM systems preferred.

3. Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize effectively.
  • Knowledge of real estate industry practices and terminology.

4. Attributes
